LICENCELY – TERMS OF SERVICE

These Terms of Service (“Terms”) govern your access to and use of the Licencely platform.
1. Overview
Licencely Pty Ltd (“Licencely”, “we”, “our”, or “us”) provides a web-based compliance platform that allows businesses to track staff credentials, certifications, working rights, and visa expiries.
2. Eligibility
Anyone may use the platform provided:
You are at least 18 years of age
You are authorised to create an account on behalf of a business
You agree to be bound by these Terms
3. User Responsibilities
Users are responsible for:
Ensuring all data entered (e.g. credential expiries, working rights) is accurate and up to date
Monitoring reminders and system alerts
Acting upon compliance-related notifications
Keeping account login credentials secure
Licencely is not liable for any missed renewals, expired credentials, or consequences arising from incorrect or outdated information, including fines, legal penalties, business disruptions, or regulatory issues.
Licencely is provided on an “as is” basis and your business remains solely responsible for ensuring compliance with all applicable laws and regulations. The platform is an administrative tool and does not replace the user’s compliance obligations.
4. Plans and Billing
Licencely offers:
Free plan: Track up to 5 credentials
Paid plans: Expanded access, additional features
All paid plans:
Are billed monthly via Stripe
Renew automatically unless cancelled
Do not offer refunds
5. Failed Payments
Accounts with failed or declined payments may be paused. Access to platform features will be restricted until payment is successfully processed.
6. Platform Limitations
Licencely:
Does not guarantee platform uptime or uninterrupted access
Does not provide legal or compliance advice
Assumes no liability for missed or incorrect data
7. Termination
You may cancel your account at any time. Upon cancellation:
Access will be revoked
Data will be deleted in line with our Privacy Policy
We reserve the right to suspend or terminate accounts that violate these Terms.
8. Intellectual Property
All platform content, branding, code, and intellectual property belong to Licencely Pty Ltd. You may not copy, modify, or redistribute any part of the platform without written permission.
9. Governing Law
These Terms are governed by the laws of Queensland, Australia. Disputes will be resolved in Queensland courts.

Licencely Pty Ltd (“Licencely”, “we”, “our”, or “us”) respects your privacy. This Privacy Policy outlines how we collect, use, store, and protect personal information you provide when using our platform.
1. Information We Collect
We collect:
Full name
Email address
Phone number
Job title
Business name
Credential types and expiry dates
Visa or working rights details (collected with your consent)
Basic payment and transaction data (tokenized via Stripe)
Usage data through cookies and analytics tools

We collect data through:
Signup and onboarding forms
Credential input fields
Cookies and session storage
Third-party tools (Stripe.js, Google Analytics, Meta Pixel)
3. Why We Collect It
We collect and use your information to:
Provide access to the Licencely platform
Track and manage staff compliance data
Send reminders, updates, and service notifications
Conduct internal analytics and improve the platform
Send marketing communications (see Section 4)
Comply with legal and business requirements
We collect visa and working rights information only with your explicit consent and solely for the purpose of assisting your business in meeting legal compliance requirements.
4. Marketing and Consent
By creating an account, users are automatically opted in to receive marketing communications via email and SMS. You may unsubscribe at any time through the unsubscribe link or by contacting us.
Where required by law, we will also display this information clearly at the point of account creation.
5. Cookies and Tracking
Licencely uses:
Session cookies for login and user session handling
Google Analytics and Meta Pixel for usage tracking and marketing attribution
These tools may collect information such as IP address, browser, and device data.
6. Data Storage and Security
Data is hosted on Bubble's infrastructure using AWS servers located in New York, USA.
Data at rest is encrypted using AES-256.
Data in transit is encrypted via SSL/TLS.
Stripe handles all sensitive payment information; Licencely does not store full payment details.
By using Licencely, you consent to the storage and processing of your personal information in the United States, which may not provide the same level of privacy protection as Australia. We take reasonable steps to ensure that the overseas recipient does not breach the Australian Privacy Principles.
7. Data Breach Notifications
In the event of a data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) Scheme.
8. Data Retention and Deletion
User data is stored for as long as the account is active. If you delete your account, data is removed from our servers, except for temporary retention in backup systems per Bubble’s infrastructure policies.

You may request to:

Correct or delete information
Withdraw consent for marketing communications
